What we collect
When you contact Grade Systems, we may collect your name, company, work email, project or challenge description, expected engagement duration, preferred start date, delivery model, engagement type, privacy consent, and any information you choose to include in your enquiry.
The website may also receive standard technical information from your browser and hosting provider, such as an IP address, date and time, requested URL, and user-agent data, for security, availability, and troubleshooting.
Why we use the information
- To respond to an enquiry and discuss a suitable engagement model.
- To understand the scope, priorities, and operational context of a potential assignment.
- To protect the website and contact channel against abuse.
- To maintain records where necessary for legal, contractual, or accounting purposes.
Contact-form processing
The contact form is delivered through FormSubmit, a third-party form-processing service. FormSubmit receives the fields submitted through the form and forwards the enquiry by email to Grade Systems. The service may process data outside your country of residence. Read the provider's information at FormSubmit's privacy documentation.
FormSubmit's anti-spam controls may process technical information necessary to protect the form. Grade Systems does not use the enquiry data for advertising or sell it to third parties.
Lawful basis
We process contact-form information on the basis of steps taken at your request before entering into a contract, and where applicable our legitimate interest in responding to business enquiries and protecting our services. Where consent is required, the form records your explicit privacy consent.
Retention
We retain an enquiry and related correspondence only for as long as reasonably necessary to respond, manage the potential engagement, meet legal obligations, resolve disputes, and maintain appropriate business records. Enquiries that do not lead to an engagement are normally reviewed for deletion after 24 months.
Your rights
Subject to applicable law, you may request access to, correction of, deletion of, or restriction of processing of your personal data. You may also object to processing or request data portability where those rights apply. Contact hello@gradesystems.co to make a request. You may also complain to the Portuguese data-protection authority, the Comissão Nacional de Proteção de Dados (CNPD).
